How a structured view of warranty costs can support supplier recovery, component priorities and extended warranty pricing. Explore the Rcalls manufacturing case study.
Warranty costs can reveal more than the expense of repairing a product. They can show where supplier recovery is weak, where reliability needs attention and where an extended warranty offer could create a new revenue stream.
In our manufacturing case study, an industrial equipment manufacturer faced a doubling of warranty costs in 2025. The challenge was to establish a reliable picture of those costs and turn that evidence into decisions.
Start with a structured view of the cost
The diagnosis brought together ERP data and supporting documentation, including service invoices, intervention reports and workshop records. Reviewing costs by machine, product type and component helped identify the drivers of warranty spend.
Supplier claims represented less than 1% of identified warranty costs. That gap made evidence capture, warranty traceability and supplier contract terms important areas for improvement.
Five levers for a practical action plan
Structure supplier non-conformities and assemble the evidence for claims.
Improve supplier recovery and review when coverage begins.
Prioritise critical components using replacement frequency and component cost.
Use warranty cost data to develop an extended warranty offer.
Improve operational efficiency through structured reporting and digital tools.
From cost visibility to commercial decisions
The resulting plan identified actions with potential to reduce total warranty spend by up to 47%. This is an assessment of the opportunity, rather than a claim that the full reduction has already been achieved.
The wider lesson is that warranty data can support both operational control and commercial planning. Knowing how repair costs are distributed across a product’s life provides a stronger basis for supplier discussions, component priorities and extended warranty pricing.
